Track puppy sales and go-home dates

BreedTracker updates puppy statuses as you match buyers, send invoices, and record payments. Set go-home dates, handle cancelled sales, and close the litter when every puppy has a final status.

  • A puppy's status follows the money, so you rarely set it by hand.
  • The go-home date drives your dashboard, the family's countdown, and the litter's close-out.
  • A cancelled sale is one dialog that settles the money and frees the puppy.

Understand reserved, sold, and placed statuses

A puppy moves through three states on its way home, and BreedTracker sets each one for you. Matching a family reserves it. Sending their invoice marks it sold. Paying that invoice in full marks it placed.

On go-home day, set the status yourself if payments have not already changed it.

  1. Open the puppy, select Actions, then Change Status.

  2. Select Placed (went home).
  3. If money is still owed, Record the final payment? appears. Select Record payment to take it now, or Skip · mark placed.
  4. The badge at the top of the puppy's page reads Went home.

Sell puppy sits on the Actions menu of an available puppy. It does the whole sale in one form, invoice and deposit included.

Set and track puppy go-home dates

Each litter carries a Go-Home Date, under Actions, then Edit litter on the litter's page. It starts at eight weeks, 56 days after the whelp date, and you can move it. A sale can give that puppy a date of its own, and the puppy's own date wins.

The badge at the top of a puppy's page counts down, Go-home in {n}d, then Go-home ready. Your dashboard lists a Go-home day row in This Week when a litter's day falls inside it. The family's page counts down too, and afterwards it reads Home since {date}. See Set up a puppy buyer portal.

Cancel a puppy sale

  1. Open the puppy, select Actions, then Cancel sale.
  2. Choose a Reason, and set the Refund amount if money was paid.

  3. Tick Put {name} back on the waitlist if they want to stay in line.
  4. Tick the acknowledgement, then select Cancel sale.

The puppy is available again, the invoice is settled, and the family keeps their record.

Close out the litter

Once every puppy is Placed, Keeper, or Deceased, the litter reads Completed. It happens on its own overnight, or right away from the litter's Actions, then Close out litter. The Sales tab keeps the money: Total Revenue, Collected, and Outstanding, with a row for each buyer. If a puppy ever comes back to you, the litter reopens.
